RIPPLE Reminders & Upcoming Additions

The Roster Interface Program & Participants List Environment, commonly known as RIPPLE is a single electronic system which permits:

  • Member account registration and administration including account approval by designated cancer centre personnel (i.e. no paper submission or processing by CCTG)
  • Participant List (PL) and Delegation Task Log (DTL) collection and administration including all QI approval of PL/DTL additions and removals

As we approach the end of 2026, CCTG would like to reinforce some expectations for utilizing RIPPLE, including:

  • Delegation of duties: when assigning roles/duties/tasks in RIPPLE, it is the responsibility of the Qualified Investigator and the site to ensure that staff delegated trial-related activities are appropriately qualified and adequately informed about relevant aspects of the trial to enable them to fulfil their delegated duties (2.3.2). Duties within RIPPLE are pre-populated with those permissible for the assigned role to facilitate completion of the Trial Participants List. The duties delegated should be reviewed to ensure they match site practice, what an individual is qualified to- and will be conducting (e.g., a site utilizing Clinical Research Associates as Data Managers may not require duties 16 (dispensing of investigational agents), 17 (administration of investigational agents), or 20 (perform other assessments) and these duties should be unselected prior to final approval of the delegation). When an individual’s role becomes active on a trial, RIPPLE will send an email to the individual outlining the trial and duties assigned with instructions to direct any duty assignment-specific questions to the QI for the trial.
  • Duplicate duties: CCTG actively discourages centres from having multiple roles for the same individual on a trial PL (e.g., an individual should not be assigned PCRA and ACRA) by flagging these duplications weekly to the remote roster administrators (RRAs) at each site (N.B. there is an exception for the ECRA role as it is tied to specific communications sent by CCTG). If duties are updated or roles change for an individual throughout the life of a trial, the existing RIPPLE entry should be removed and new entry added with the updated role/duties. During the process, a new training and credentialing check is completed by RIPPLE, so ensuring that all requirements are satisfied, will ensure that the removal and new entry changes can take place immediately and no gaps in trial participation occur.
  • PL and DTL consistency: While the RIPPLE PL is required for all CCTG trials, the NCI-DTL components within RIPPLE are only required for select NCTN trials when CCTG is the Canadian sponsor. For these trials, CCTG requires that the tasks assigned on the RIPPLE NCI-DTL components align with the roles and duties assigned on the CCTG PL component (e.g., individual assigned QI on the CCTG PL components is the same as the individual assigned the Clinical Investigator task on the NCI-DTL components or individuals assigned duty 2 (informed consent) on the CCTG PL components should also be assigned the consenting person task on the NCI-DTL components, etc.). RIPPLE sends out weekly potential discrepancies between these two components to RRAs, PLAs, PLDs, and DTL administrators.
  • Timely updates: QIs and sites should ensure that the RIPPLE PL/DTL are kept up to date in a timely manner to accurately reflect activities that are being conducted at the site (2.3.3). Examples include, but are not limited to, prolonged periods where individuals are pending approval for outstanding role requirements, staff members assigned duties that they are not conducting or would never conduct, and staff members no longer working on the trial or at the centre but remain on the RIPPLE PL/DTL.
  • iMedidata access: CRAs seeking iMedidata access will need to ensure they are delegated either duty #14 (processing subject enrolment) or duty #21 (data management).

What is coming in early 2027?

Beginning in 2027, in order to facilitate timely review and updates to the RIPPLE PL, a few reminder notifications will be sent to individuals at the site:

  • Annually to RRAs: site RRAs will receive a notification listing their site’s current PLs with a reminder that the individual PCRAs for each trial have been notified to review their PL and contact RRA/PLA with any required changes.
  • Biannually to active PCRAs: each trial PCRA will receive a notification directing them to the RIPPLE PL to review and coordinate with the site RRAs/PLAs if any updates are required.
